The Shift2Rail Joint Undertaking (S2R JU) maintains this website to enhance public access to information about its activities and initiatives. The S2R JU’s goal is to keep this information timely and accurate. If errors are brought to its attention, the S2R JU will do its utmost to correct them as soon as possible.

The S2R JU accepts no responsibility or liability (including, but not limited to, any direct or consequential loss or damage that might occur to you and/or any other third party) arising out of, or in connection with the information on this site, including information relating to the documents it publishes.  The S2R JU cannot be held liable for errors, inaccuracies or inconsistencies with regard to texts available on its website being different from the scientific and administrative documents officially adopted, issued or endorsed by its responsible governance bodies. In case of disagreement between the adopted text and the document made publicly available on the S2R JU’s website, the official text will always prevail.

4. Usage of the website

a, Personal Data Protection

The Shift2Rail Joint Undertaking is committed to user privacy.  It processes your personal data only for the purposes indicated below.

The policy on the processing of personal data by the Union institutions is based on Regulation (EC) N° 45/2001 of the European Parliament and of the Council of 18 December 2000.

You can browse through the S2R JU website without giving any information about yourself, subject to what is mentioned below regarding logged information and the use of cookies on the S2R JU website. Nonetheless, in some cases, personal information is required in order to provide certain e-services.

In this respect:

  • for each specific e-service, a controller determines the purposes and means of the processing of personal data and ensures the conformity with data protection rules;
  • the S2R JU’s Data Protection Officer, Data-Protection@s2r.europa.eu, monitors compliance with the Regulation and advises controllers on fulfilling their obligations (see art. 24 of the Regulation);
  • for all EU Institutions and Agencies, the European Data Protection Supervisor acts as an independent supervisory authority with regard to the data protection (see art. 41 to 45 of the Regulation).

b, E-services

An e-service on the Shift2Rail Joint Undertaking website aims to improve communication between the website user and the S2R JU.  Below, you will find information on some specific e-services offered on the S2R JU’s website.

  • Online Contact Form: by means of the Contact Form, personal data (email address, name) are collected. If users send us personal information by email, or by filling out a form on our website, that information is used to respond to the messages and to help us to provide the information requested. Unless indicated differently for a specific tool, after answering, the Shift2Rail Joint Undertaking may keep personal data for a maximum of 6 months.
  • e-Subscriptions via the S2R JU website: the Shift2Rail Joint Undertaking relies on the external service provider www.mailchimp.com for the registration and management of subscriptions to its newsletter. This service provider is based in the US and the S2R JU has signed with the company specific terms on data processing, compliant with the model contractual clauses of the European Commission.  Your personal data (name, e-mail account) are processed solely for the purpose of your newsletter subscription and related services (alerts, notifications) and the data will under no circumstances be shared with any third party unrelated to this purpose.
  • Twitter policy: the S2R JU’s Twitter account is managed by the S2R JU Communications Department. The S2R JU issues tweets covering some of the following: press releases, web news stories, or other news content such as the launch of public consultations or official correspondence. Additional Twitter accounts focused on specific themes or areas of work may be maintained by various units. Please note that if you follow @Shift2Rail_JU or any other Twitter account managed by the S2R JU, we will not automatically follow you back. The S2R JU will update and monitor its Twitter account during office hours, Monday to Friday.

c, Cookies and Analytics – how do we use cookies?

  • Session cookies: A session cookie exists only in temporary memory while the user navigates the website. Session cookies are deleted when the user closes the browser.
  • Third-party cookies: the following third-party cookies are used on the S2R JU website:
Google Analytics cookies The S2R JU website uses Google Analytics, a web analytics service provided by Google, Inc. Google analytics cookies are used to collect information about the way visitors use our site. The S2R JU uses this information to compile reports and to help us improve the site. Cookies collect information in an anonymous form, including the number of visitors to the site, where visitors to the site come from and the pages they visit. Compliant with privacy standards, the IP address information is rendered anonymous by means of suppressing part of the IP digit code, preventing storage of the full IP address information.

YouTube cookies Most videos available on the S2R JU’s website are embedded from its official YouTube channel. YouTube’s privacy-enhanced mode is enabled, which means that YouTube will not store cookie information for playbacks of embedded videos. Other third-party cookies Cookies from multimedia content player sessions, e.g. Soundcloud for audiocasts or other audio or visual support programmes embedded on the S2R JU website.

How to control cookies?

You can control and/or delete cookies as you wish – for details, see aboutcookies.org. You can delete all cookies that are already on your computer and you can set most browsers to prevent the use of cookies. If you do this, however, you may have to manually adjust some preferences every time you visit a site and some services and functionalities may not work.

Shift2Rail info Day App

This app allows the S2R JU to access app user’s personal information provided during the registration process. The only data accessible/collected related to individuals are: forename and family name; Email address; function; the company they work for. This  information will only be accessible until December 21st, 2017 and will not be used to any other means as the ones they were provided for, nor will they be further processed. The mobile application will collect only those data that are strictly necessary to perform the lawful functionalities as identified and planned.

Please note that the S2R JU Info Day mobile app is based on the tailor-made mobile app called “Evenium”, which has its own personal data protection Terms and conditions of use and sale.

The S2R JU hereby also underlines that the only means to download the app is to use the Google Play store or the Apple store. They collect personal data according to the privacy policies on their websites.

The S2R JU does not endorse, nor take responsibility for their processing of your personal information.

 5. Statement on confidential information

In the area of the Shift2Rail Joint Undertaking’s mission, several specific legal acts provide confidentiality clauses setting out the conditions in which certain documents or information may be disclosed. For certain matters, the legislator has given EU bodies other than the S2R JU (e.g. the Commission or the Member States) the competence to accept/reject confidentiality claims of third parties with regard to the data processed under the specific legal act.
